Refunds, Cancellations & General Terms

1. Introduction
1.1. Ethical Conveyancing (“the Company”) connects customers with carefully selected, regulated conveyancing firms (“Partner Firms”) and related service providers.
1.2. The Company uses its scale and technology to provide competitive conveyancing quotations and efficient case management support.
1.3. “Client” refers to any person or entity engaging the Company’s services.
1.4. “Partner Firm” refers to the law firm or licensed conveyancer appointed to carry out the legal work on the Client’s behalf.
2. Quotations
2.1. All quotations are based on the information provided by the Client and apply to properties located in England and Wales only.
2.2. Quotations are valid for 14 days from the date of issue unless withdrawn sooner.
2.3. Quoted figures are prepared in good faith but may not include:
- Changes in disbursement costs or taxes (e.g. Land Registry or Stamp Duty).
- Additional work such as first registrations, lease extensions, or complex title issues.
3. Searches
3.1. Ethical Conveyancing and its Partner Firms order searches on all relevant purchase transactions.
3.2. The initial quotation will detail which searches are included. Additional searches (for example, coal mining or chancel repair) may be required by the lender or Partner Firm. Where these are required, you will be informed and given the option to order these additional searches either through Ethical Conveyancing or directly through the Partner Firm.
3.3. Searches are ordered electronically upon payment and are non-refundable, as they are property-specific and processed immediately.
4. Payments
4.1. The Initial Payment made to Ethical Conveyancing upon instruction covers:
- The File Opening Fee (non-refundable once work begins),
- The cost of ID and Anti-Money Laundering (AML) checks, and
- Administrative time to set up your file and liaise with the Partner Firm.
5. Cancellations and Refunds
5.1. Unless otherwise stated, we will begin work on your file straight away. This includes arranging for your welcome pack and ID/AML checks to be sent. If you do not wish for work to begin immediately — either to preserve your full 14-day right to cancel, or for any other reason — you must notify us of this at the point of sale.
5.2. Either party may cancel an instruction at any time by written notice.
If the Client cancels within 14 days and no work has begun, a full refund of the Initial Payment will be issued.
“Work” is deemed to have begun once either (a) the welcome pack has been issued, or (b) the ID/AML check has been submitted — whichever occurs first.
If cancellation occurs within 14 days after work has begun, the refund will normally be reduced by:
- The full amount charged for ID/AML checks, plus
- An administration fee of £75 to cover staffing, systems, and file setup costs.
6. No Sale, No Fee Arrangements
6.1. Where a Partner Firm operates a No Sale, No Fee policy, the Client’s liability will be limited to disbursements incurred by that firm if the transaction falls through for reasons beyond the Client’s control.
6.2. If the Client withdraws voluntarily, the Partner Firm may charge for disbursements and an administration fee calculated according to the time spent and work completed on the file.
7. Client Conduct
7.1. Ethical Conveyancing reserves the right to terminate any instruction immediately if a Client acts in an abusive or threatening manner toward any member of staff, Partner Firm or service provider.
7.2. In such cases, the Client forfeits the right to any refund or credit.
8. Limitation of Liability
8.1. TG Legal Services Ltd trades as Ethical Conveyancing.
8.2. The Company’s total liability shall not exceed the amount of the Initial Payment received.
8.3. The Company is not responsible for losses, delays or costs caused by third-party providers, search suppliers, lenders or Partner Firms.
9. Compliance & Regulation
9.1. All solicitors and licensed conveyancers introduced by Ethical Conveyancing are regulated by either the Solicitors Regulation Authority (SRA) or the Council for Licensed Conveyancers (CLC).
9.2. Ethical Conveyancing itself is not a law firm and does not provide reserved legal services.
10. Data Protection & Privacy
10.1. All personal data provided is processed in accordance with our Privacy Policy.
10.2. By submitting an enquiry, you consent to being contacted by phone, email or SMS in relation to your quotation or transaction.
10.3. Data may be shared securely with Partner Firms, AML providers and search suppliers solely for the purpose of managing your conveyancing instruction. (See our Privacy Policy for further details on cookies, remarketing, and data handling.)
